Connect your own Zoom account and TraitTune makes the meeting for every session you book. After a session, what Zoom made of it can come back to the client’s case for you to review.
What it does
Every session you or your client book in TraitTune gets a Zoom meeting on your own Zoom account, with a waiting room. The link goes on the booking and in the calendar invite.
Move a session and the meeting moves with it. Cancel it and the meeting is deleted.
The meeting is titled only “TraitTune session”. TraitTune sends Zoom no client name, email or notes, and adds no attendees.
After a session, if your client allowed recording in TraitTune, the transcript (from a cloud recording or AI Companion), the AI Companion summary and who attended arrive on the client’s case as drafts for you to review.
Before you start
A TraitTune account with a practice, and a Zoom account you sign in to yourself.
Any Zoom plan works for meetings. Free Zoom plans end every meeting after 40 minutes.
Transcripts need cloud recording with audio transcripts (Zoom Pro or above) or AI Companion. Summaries need AI Companion’s meeting summary turned on in Zoom.
If your Zoom account belongs to a company, its administrator may have to allow TraitTune once.
Add Zoom
Sign in at traittune.com and open Settings → Connected apps.
Next to Zoom, choose Connect.
Zoom opens its consent screen and lists what TraitTune may do: create, move and delete the meetings for your sessions, read your Zoom user and settings, and read the transcript, summary and attendance of those meetings. Choose Allow.
You come back to Connected apps, where Zoom now shows Connected. Your next booked session gets a Zoom link.
Your practice’s owner can choose whether members may connect Zoom, and which video tool new sessions use.
Use it
Meetings
Book a session from the client’s case, or let the client pick a time. The booking shows Join the call. Open it in Chrome or Edge to also record the client’s voice with TraitTune’s own recorder. You can switch Zoom off for a while in Connected apps: nothing is created or changed until you switch it back on.
Transcripts, summaries and attendance
These arrive only for clients who allowed TraitTune to record their sessions. They allow it once when they join, and can change it at any time in their Privacy settings. Record to the cloud in Zoom, or use AI Companion. When Zoom has finished, open the client’s Sessions tab: a From Zoom card shows the transcript, the summary and how long the client stayed.
Review a draft, edit it if you like, and choose Save to session record. Only saved text is used by your AI.
Discard anything you don’t want to keep.
Zoom’s copy sits next to TraitTune’s own recording, never instead of it.
Attendance keeps only how many people joined and for how long, never names.
Remove Zoom
In TraitTune: Settings → Connected apps → Zoom → Disconnect. TraitTune revokes its access at Zoom and deletes it straight away.
Or in Zoom: sign in at the Zoom App Marketplace, open Manage → Added Apps, and choose Remove next to TraitTune. The next time TraitTune tries to use the connection, Zoom refuses, TraitTune deletes its stored access, and Connected apps shows Reconnect.
What happens to the data:
Your Zoom access is deleted when you disconnect, remove TraitTune in Zoom, or delete your TraitTune account.
Meetings already made stay on your Zoom account. Delete them in Zoom if you wish.
Drafts you saved stay as session records in the client’s case, which you can delete. Unsaved drafts stay until you discard them, and are deleted with the case or the client’s account.
Connect fails or returns an error. Try again. If your Zoom account belongs to a company, ask its administrator to allow TraitTune.
A session has no Zoom link. Check that Zoom shows Connected and switched on in Connected apps. If it shows Reconnect, Zoom asked you to sign in again.
No transcript arrived. Your client may not have allowed recording, the meeting wasn’t recorded to the cloud, or Zoom is still processing it (this can take a while after a long session).
The meeting stopped after 40 minutes. That is the limit of Zoom’s free plan.
